Information for Oral presenters

Uploading your presentation

The symposium's presentation technology is professionally managed. There will be no option to use your own device
in the conference room. Instead, all presentations will be uploaded to a shared file storage. An upload link will be sent to all confirmed
speakers 3-5 days before the conference.

We strongly recommend that you upload your presentation well in advance to ensure that the session runs smoothly. Supported file formats are PowerPoint (*.ppt, *.pptx) and the Portable Document Format (*.pdf). Presentations must be self-contained: Please do not assume that additional packages e.g. for displaying mathematical formulas are installed.

Please name your presentation file according to the scheme

“‹session_id›_‹speaker›.‹file_suffix›”, e.g. “41_Knudsen.pdf”.

You can find the session id in the program, or from the table below:

Upload your presentation here.

Presentations have to be uploaded at least 10 minutes prior to the session in which they are given! Please note that there is no automatic email confirmation when your slides have been successfully uploaded.

On-site upload service

We will have staff on site from Monday to Friday, 8 a.m., to help you with the upload if you have any difficulties.
Support is available until the end of the last session each day (“Alte Mensa”, room "Taberna"). If you are unable to upload your presentation yourself,
please bring your presentation file on an otherwise empty USB stick.

Speakers for the Monday morning session who bring their presentation on a USB stick are strongly recommended to bring the presentation to the check-in on Sunday.

Check-in hours

Sunday, July 14: 2 p.m. to 6 p.m. (14:00 – 18:00) at Hotel FREIgeist,
Berliner Straße 30 , D-37073 Göttingen, room “Event Küche”

Monday, July 15: from 8 a.m. to 9:30 a.m. (08:00 – 09:30) at the “Assembly Hall”,
Wilhelmsplatz 1, D-37073 Göttingen

For the remainder of the symposium, you will find the check-in desk in the foyer “Alte Mensa”, near the main entrance.
The check-in desk closes with the last session every day.

Presentations must be given in person by the speaker listed in the program and must relate to the topic covered
in the submitted abstract. There is no provision for remote presentation.

Be considerate to the other speakers and audience by staying within your allocated time. The allocated time for your presentation includes a discussion and changeover to the next speaker. We suggest to leave about 5 minutes of your allocated time slot for this. Session chairs will enforce the schedule.

Times and room locations may change and these changes will be announced in the conference app and at the check-in desk.

Please arrive 15 minutes before the start of the session in your allocated presentation room to introduce yourself to the session chair
and to check with the support staff that your presentation is accessible.

Available audio-visual equipment

All conference rooms are equipped with the following equipment:

  • PC
  • LCD screen / projection screen
  • Head set microphone or microphone at speaker’s desk
  • Laser pointer and wireless presenter / remote control

The Assembly Hall and Adam von Trott Hall are equipped with a preview monitor for speakers.

General legal information

Only fully registered conference participants may attend and present at the Symposium.
Participant contributions (posters, slides, any supporting material other than abstracts) will not be published in any of the digital services used by DLR for the conference organization. Abstracts will be published on the RGD2024 web-based conference app. It is possible for the speakers, poster presenters and all other participants to be photographed on site by the DLR photographer. The handling of personal data is subject to the European Union's General Data Protection Regulation (GDPR) and the associated legal provisions. Therefore, each participant of the RGD 2024 must complete and sign the declaration of consent at the participant check-in on site (in the foyer), as the taking of photos of the speaker interferes with his/her data protection rights and he/she must therefore be informed about this processing of his/her personal data.

A separate call for full paper will be issued in August 2024. The publisher of the proceedings requires a properly filled and
signed License to Publish Agreement. This form will also be available at the check-in desk.
